What's Included / Not Included

Applies to the Basic Plan only

• Shared rooms are for guests of the same sex only. Roommates will be arranged by us.
• Occupancy is 2–6 people per room, depending on the property and bookings; a specific number cannot be guaranteed.
• If a shared room cannot be arranged, we will contact you by one month before departure, and you may choose one of the options below.

• If you choose option 2, please notify us within 7 days of our contact (and no later than 21 days before departure).
• If we do not hear from you by the deadline, option 1 will apply automatically.

This tour is centered on accommodation. Whether and how the HIROSHIMA Ultra-Trail by UTMB takes place is determined by the organizer and is not part of our travel contract.

Even if the race is cancelled, postponed, or its course is changed, this tour (accommodation and breakfast) will proceed as scheduled. The standard cancellation fees below will apply to any cancellation in that case.

If the race is cancelled, we will work with our accommodation partners to make reasonable efforts to adjust the schedule or reduce cancellation fees where possible.

Your application does not itself form a contract. The contract is formed only upon our notice of acceptance.

If you cancel the travel contract for personal reasons, the following cancellation fees apply.

• The tour price includes the ¥9,800 planning fee, which applies even to cancellations made more than 21 days before departure.
• Departure date is April 9, 2027 for both the 3N/4D and 2N/3D plans.
• Refunds are generally issued via your original payment method. If you request a refund by bank transfer, the actual transfer fee will be deducted.

Cancelling Without a Fee

You may cancel before departure without a fee if any of the following apply:

• We make a significant change to the contract terms
• The tour price is increased
• There is a serious risk that safe, smooth travel will be impossible due to a natural disaster or similar event
• We fail to provide the final itinerary by the required date
• The tour cannot proceed as scheduled for a reason attributable to us

Tour Plan Document

This is a custom-arranged package tour. Before applying, we provide a Tour Plan Document (stating the itinerary, service details, and the tour price including the planning fee).

Final Itinerary (Confirmation Document)

Confirmed accommodation details will be sent as a final itinerary by the day before departure (or by the departure date itself, for applications made within 7 days of departure).

Tour Management
